As the Ninety organization continues to experience exceptional growth, we are looking to bring on an Executive Assistant who will be the supportive force that empowers our CEO/Visionary. The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. You will have previous experience working in a remote environment, performing administrative duties, and providing support.  

To be successful in this role, you must have:

  • Experience and comfort with working remotely
  • Experience supporting a leader with a large number of direct reports 
  • Experience in a dynamic, high-growth environment 
  • Experience as an Executive Assistant supporting a CEO/Founder
  • A high degree of organizational ability with regard for deadlines
  • A proactive approach to problem-solving with strong decision-making skills
  • Comfortable with hard conversations
  • Professional level verbal and written communications skills
  • Experience with Zoom, Google Workspace, LinkedIn, Slack, and the ability to quickly and effectively learn other technologies is highly preferred

Your Key Responsibilities:

  • Act as the point of contact for CEO with all department leaders, employees, clients, board, and other external partners
  • Own CEO’s email, LinkedIn, and Social Media
  • Conduct complex calendar management
  • Plan coordination for Family and Personal Obligations
  • Coordinate communications, materials, and logistics for meetings, client coaching sessions, and events
  • Coordinate travel logistics for CEO and related parties
  • Plan and orchestrate work to ensure priorities are met, organizational goals are achieved, and best practices are upheld
  • Manage information flow in a timely and accurate manner
  • Assist with document completion via DocuSign

What Success Looks Like:

  • Commitments are met and CEO’s schedule is balanced to avoid over-booking (allowing for breaks)
  • Completely manages all emails
  • Ability to be assertive and offer guidance to keep objectives on track
  • Building strong, trusting relationships with CEO’s direct reports and clients and ongoing relationship management 
  • Ability to take initiative and exhibit effective decision-making ability 

Preferred Qualifications

  • 10 years of experience as an Executive Assistant supporting a CEO/Founder
  • Previous startup experience 
  • Bachelor's Degree

Nice to have

  • EOS knowledge 
  • Working knowledge of Quickbooks
